In-person and remote participation tools
The NDACC 2025 Symposium is a hybrid event allowing remote access for all registrants and in-person attendance to those who opt in. Please carefully follow the instructions below so that all participants can have a meaningful experience.
All registered participants will receive unique credentials for a restricted access area on the symposium website. This area will open in mid-October and remain open for several weeks. It will list all presentations: Keynote, oral and poster, with their abstracts. Participants will be invited to post comments and questions about any item for the authors and other participants. Both in-person and remote posters will be available here for viewing, and some may have an up to 2-minute video tour of the poster.
We encourage all presenters to log in frequently to answer questions and engage with other symposium attendees. More information on the online platform including login credentials will be sent in mid-October.
Keynote and Contributed Oral Presentations – instructions
Keynote presentations will be 25 minutes plus 5 minutes for Q&A – 30 minutes total.
Contributed oral presentations will be 12 minutes, plus 3 minutes for Q&A – 15 minutes total.
All presenters whether in-person or remote must upload their presentation to Box (see instructions below) no later than 24 hours in advance of their speaking time. Presentations may be in Power Point, Keynote or Adobe Acrobat. Presenters may use a web browser if desired. Files will be presented on a Mac; if you have a video, please ensure it is in MP4 format. The Box instructions below include upload process and the required filename convention.
Remote attendees will have the opportunity to present live and drive their presentations through screen sharing. Remote presenters must test screen sharing via Webex using the website: https://www.webex.com/test-meeting.html before presenting. Note that sharing permissions can be changed during an OS upgrade, so it is important to test even if you’ve been able to share in the past. For backup in case of any technical or bandwidth issues, remote presentations must still be uploaded to Box. All remote attendees should be present for live Q&A after the presentation. If desired, remote attendees may also wish to upload a recording in MP4 format to Box prior to their presentation to serve as an additional backup.
Poster Presentations – instructions
All posters must be provided digitally for display on a secure website available to only registered NDACC 2025 attendees. These should be sent no later than Wednesday, October 15 in PDF format. Upload to Box using instructions below.
Poster sessions will be Monday and Tuesday afternoons from 4-6 PM. Posters may be hung beginning Monday Morning. They must be in place by the start of the Monday poster session. All posters will be on display for both sessions. Please remove posters no later than noon Thursday.
Posters can be either landscape or portrait orientation, but no wider than 46 inches. Please include contact information for the first and presenting authors. Use fonts large enough to be easily seen from a few feet distance. Pins will be available to hang posters.
Remote attendees with poster presentations are encouraged to designate an in-person attendee as a presenting author to display a hard copy of the poster and be present for questions at the poster session. Remote poster presenters, please notify the program committee at https://ndacc.cas.hamptonu.edu/?page_id=433 with subject = ‘Presentations and Presenters’ if you are sending a hard copy of your poster so we reserve a spot for it.

Required Filenames for Box Upload:
Find your presentation number in the Detailed Program on the Symposium website at https://ndacc.cas.hamptonu.edu/?page_id=54 for oral presentations and at https://ndacc.cas.hamptonu.edu/?page_id=57 for poster presentations. You will indicate your Session and presentation number in your filename for upload to Box:
- Symposium Keynotes: K_S##_LastName.pdf (e.g., K_S01_Stauffer.pdf)
- Session Keynotes: K_Session##_LastName.pdf (e.g., K_B01_Stauffer.pdf) where Session is A, B …. F
- Oral Presentations: O_Session##_LastName.ppx (e.g., O_C13_Stauffer.ppx) where Session is A, B …. F

PowerPoint files are not accepted for poster presentations. Your poster must be a PDF. If you upload a 2-minute presentation it must be a video in MP4 format.
